Trimble Unity Construct FAQs
All current and future capital projects, regardless of size, will be managed in Unity, unless the project is in or near close out. For projects already in progress and near close out, please confirm the transition expectations with your Yale project manager.
Unity will be used by the prime contractor (CM/GC) holding the contract with Yale. Subcontractors will continue to coordinate and submit RFIs, submittals, and other documentation through the CM/GC, who will be responsible for managing information within Unity.
No. Subcontractors and subconsultants will continue to invoice through their existing processes. Only construction managers and general contractors working directly under contract with Yale will submit invoices through Unity.
For capital projects, all invoices must be submitted through Unity, regardless of project size. Invoices for these projects should no longer be sent to ap.vendorinvoices@yale.edu.
Yes. All active capital projects are being migrated into Unity, and project administration will be managed within the system moving forward. Existing project data is being transferred, and the schedule of values needs to be uploaded as part of the transition.
RFIs and submittals will typically be coordinated through a designated lead. For submittals, the design lead (Architect or Engineer of Record) is responsible for review and response, with input provided by the appropriate discipline leads as needed.
Yes. RFIs can include reference drawings in Unity, provided the drawings are uploaded and maintained within the system.
Unity offers limited integration capabilities with platforms such as Procore, currently focused on RFIs and submittals. This functionality is relatively new and is still being evaluated. At this time, there is no set timeline for broader integration, and implementation would require coordination with Trimble professional services on a project-by-project basis.
At this time, Unity is not integrated with other Trimble products, including Spectrum, as integrations were not included in the current implementation scope. The Unity platform will continue to be updated and enhanced over time, and integration capabilities may be evaluated in the future.
Yes. Training is required for all users, as it covers Yale-specific workflows and business processes within Unity.
No. Training invitations were sent to consultants working directly under contract with Yale. Subconsultants supporting an Architect or Engineer of Record were not included and should coordinate through their lead firm, who will be responsible for submitting project documentation in Unity.
Yes. The training videos will be published on the Yale Facilities website and YouTube channel.
No. Requirements vary based on the current phase of the project. Transition needs will be determined on a project-by-project basis.
Yes. Project-related correspondence should be maintained in Unity. Emails can be saved as PDFs and uploaded as project records. Naming conventions for these files are being finalized to support consistent documentation.
Yes. Users can be assigned multiple roles, including management and non-management permissions. It is the responsibility of each vendor to request an appropriate level of access based on their needs.
The prime contractor (CM/GC) is responsible for uploading the SOV, which will then be reviewed and approved by the Yale project team. This requirement also applies to consultants, including architects and engineers.
Unity uses Yale-defined cost codes for SOV line items. While these may differ from a contractor’s internal cost codes, descriptions can be aligned to ensure consistency and clarity.
PO numbers will be available in Unity as part of the invoicing process. When generating an invoice, users will first select the applicable commitment, at which point the associated PO number will be accessible.
No. Subcontractor bidding will continue to be managed through the CM/GC’s existing processes and systems. The CM/GC will determine submission requirements and enforce bid due dates.
Input is primarily managed through standardized form submissions within Unity. Templates and standardized coversheets are being developed to support consistent documentation.
You may have a login to Trimble Construction One. It is a separate product from Trimble Unity Construct (Unity). Trimble does have multiple product offerings, so you will get a new ID. But keep in mind, if you are working with other customers, your login information is about to change as Trimble is rolling out a new authentication means, which will allow you to have more continuity across all the different accounts you have.
Trimble Unity Field is the mobile application that can work with Trimble Unity Construct. Connectivity with Yale’s Unity environment is in review and may not be available at launch, though may be implemented in the future as requirements are defined with Trimble.
Yes. Yale’s Unity administration team will manage and respond to support requests specific to the Yale Unity environment.
